Upholstered furniture is where specification gaps cost buyers the most. Fabric grade, leather type, and foam density are substituted more often than any other component — because buyers rarely write them down precisely, and factories default to whatever holds the target price. This guide explains how upholstery materials are categorised, how they compare, and what to include in your spec sheet before the order is confirmed.
Why Upholstery Fails Most Buyers
Most furniture buyers specify frame dimensions, leg finish, and overall colour. Upholstery gets described as “grey fabric” or “brown leather.” That is not a specification — it is a suggestion, and factories treat it as one.
The problem is that all grades of polyester look identical on a small swatch. A 15,000-rub residential fabric and a 50,000-rub contract fabric can come from visually indistinguishable rolls. Bonded leather and full-grain leather share a surface grain at first glance. When a factory needs to hold a target price, it selects the material that allows it to — and without a written spec, there is no basis for a dispute after the goods are packed.
The damage becomes visible after delivery: pilling on a sofa within six months, peeling on a dining chair within a year, cushions that flatten after light use. None of this is fraud. It is the predictable result of a vague brief meeting a cost-conscious factory floor.
Fabric Types and What They Mean
Foshan furniture factories work with a broad range of fabrics, most of which fall into six practical categories. Understanding where each sits — and how durability is measured — is the basis of a workable spec.
Polyester is the default in mid-range furniture. It is durable, colourfast, and easy to clean, but quality varies widely. Residential-grade polyester starts at around 15,000 Martindale rubs. Contract-grade polyester runs from 30,000 to 80,000. Specify the grade, or you will receive whichever version holds the quoted price.
Velvet — almost always a polyester velvet in furniture production — reads as premium at point of purchase but is often a lower rub count than plain polyester. Standard furniture velvets run 15,000–25,000 rubs. Performance velvet, treated for stain resistance, reaches 40,000–60,000. For hotel or heavy residential use, performance velvet is the minimum to specify.
Linen blends are used where a natural, textured surface is required. True linen is expensive and rarely used in furniture production; most “linen look” fabric is a linen-polyester blend. Durability is moderate — typically 20,000–35,000 rubs — and the weave can loosen under friction. Confirm the actual blend ratio before ordering.
Boucle and textured loop-pile fabrics have been specified widely in residential and hospitality projects over the last several years. They are almost always polyester with a looped or nubby surface texture. The loops are a weak point under abrasion, and Martindale counts are often lower than the plain fabric from the same mill. Ask for a test certificate, not just a swatch.
Technical and performance fabrics — sold with or without brand names — are what contract and hospitality buyers should be specifying as a default. These are engineered for cleanability, UV resistance, and abrasion. Rub counts typically start at 50,000. Factories can source them to order; they cost more than standard polyester and fabric procurement adds one to two weeks to the lead time.
The Martindale rub test is the standard for measuring fabric durability. The figure represents the number of rubs before visible wear or damage. Always request a Martindale certificate from the fabric mill, not just a verbal assurance from the furniture factory.

Leather, PU, and Everything in Between
The word “leather” covers a quality range wider than most buyers expect — from full-grain hides to materials that contain no leather fibre at all. Factories use the term loosely, and the difference in durability between the top and bottom of this range is measured in years, not months.
Full-grain leather uses the outermost layer of the hide with the natural surface intact. The grain markings, scars, and variation are visible — and they are a sign of authenticity, not a defect. Full-grain leather breathes, develops a patina over time, and resists tearing. It is expensive and appears in premium furniture or when the client specifically requests and pays for it.
Top-grain leather has been sanded or buffed to remove surface imperfections and create a more uniform appearance. It is the most common genuine leather used in mid-range furniture — durable, consistent, and more affordable than full-grain. Most leather sofas in the USD 800–2,000 range at point of sale use top-grain.
Corrected-grain leather has been heavily processed: the surface is buffed smooth and an embossed grain pattern applied. It looks uniform and clean, but has lost most of the hide’s natural strength. It will crack sooner than top-grain under the same use conditions.
Bonded leather is made from leather dust and scraps bound together with polyurethane adhesive and applied to a fabric backing. It looks like leather on day one. Within one to three years under regular use, the surface begins to peel, bubble, and flake. This is the default material in low-priced “leather” furniture unless specified otherwise.
PU leather (polyurethane leather) contains no leather at all — it is a polyurethane coating over a fabric base. Quality varies considerably: low-grade PU peels within eighteen months; high-grade PU with a thick coating layer can last five years or more under moderate use. PU is not a problem if it is what the buyer has specified. It is a problem when it is sold as leather.

What to Put in Your Upholstery Specification
A workable upholstery spec is a one-page document attached to the purchase order. It does not need to be elaborate, but it needs to be measurable — meaning any claim in it can be tested against a physical sample or a mill certificate.
- Material category and grade — “Polyester, minimum 40,000 Martindale” or “Top-grain leather, 1.0–1.2mm thickness.” Not “polyester fabric” or “leather.”
- Colour reference — Pantone number or a physical swatch from an approved colour book. A photo is not a colour reference.
- Foam density and ILD — State density in kg/m³ (e.g. 40 kg/m³) and firmness as ILD (e.g. ILD 30–35 for a seat cushion). These determine both feel and longevity.
- Fill material for loose cushions — Specify high-resilience foam, fibre-wrapped foam, or a down-blend. Omitting this results in the cheapest available fill.
- Quilting and stitching pattern — Reference a photo or sketch. Decorative stitching details are changed without notice when not specified.
- Fabric directionality — Specify “pattern match required” or “pile direction uniform across all panels” if the fabric has a nap or repeat.
- Pre-production sample approval clause — State in writing that bulk cutting cannot begin without a signed-off physical sample.
What Factories Default to Without a Spec
On fabric: the default is the cheapest polyester grade that achieves the agreed colour. For orders below USD 500 per piece, this is typically a 15,000–20,000 rub residential polyester. The factory is not misrepresenting it as anything else — the buyer simply did not ask for more.
On foam: the default density is usually 35–38 kg/m³ for seat cushions in a mid-range order. That is acceptable for light residential use. For commercial or hotel furniture, 40–45 kg/m³ is the minimum; some hospitality specs require 48 kg/m³ for high-use seating. Without a spec, you receive what makes the price work, not what makes the furniture last.
On leather: the default in any order described only as “leather” without further specification is almost always bonded leather or, at best, corrected-grain. If you want top-grain, you need to write “top-grain” and confirm it at the sampling stage.

Evaluating Upholstery Samples
A pre-production sample is the point where your specification is tested against what the factory can actually produce. Treat it as a contract, not a formality.
For fabric samples, request a two-metre cut of the proposed material, not a small swatch. Examine the weave under light for consistency, check the pile direction on velvet, and compare the colour under daylight and artificial light — colour shift between light sources (metamerism) is common with polyester. Ask for the mill’s Martindale certificate for that specific fabric reference number, not a generic certificate for the fabric type.
For leather samples, check the back of the sample. Full-grain and top-grain leather have a fibrous, slightly rough reverse surface. Bonded leather has a smooth, fabric-like back — the paper or textile backing is visible. Run your finger firmly across the surface several times: bonded leather will show early delamination on thin material. A PU sample has a clearly synthetic feel on the reverse.
For foam, the only reliable test is a density measurement. Request a cut cube from the proposed foam and weigh it. Density in kg/m³ equals weight in grams divided by volume in cubic centimetres, multiplied by 1,000. A factory that resists this request on a significant order is a factory that does not want you to know what you are getting.
Sign off on the approved sample in writing — an email is sufficient — and state that bulk production must match it. Keep the sample for comparison during the production inspection and at delivery.
When to Supply Your Own Fabric
Customer’s Own Material (COM) means the buyer procures the fabric independently and ships it to the factory for production. This is a practical option when the designer has specified a proprietary material, or when a brand fabric standard applies across multiple suppliers.
COM adds logistics complexity: the buyer is responsible for calculating the correct yardage including cutting waste — typically 10–20% above net coverage, higher if there is a large pattern repeat — arranging delivery to the factory, and ensuring the fabric arrives before production is scheduled. A shortfall in COM fabric will stop the order.
The factory bears no liability for defects caused by COM fabric. If the material shrinks, fades, or fails in production, the cost sits with the buyer. Pre-shipping fabric testing is important, not optional, and the factory should be given written handling instructions before cutting begins.
