Upholstered Beds from China: What Hotel and Villa Buyers Need to Specify

Upholstered beds look simple in catalogue photos. The gap between a piece that holds up through ten years of hotel use and one that develops loose stitching, sagging foam, and rattling slats inside eighteen months is entirely in the specification. This guide covers the decisions that need to be made before an order is confirmed from a Chinese factory.

Why Upholstered Beds Are Harder to Specify Than Casegoods

Unlike a wardrobe or sideboard, an upholstered bed involves multiple material systems that must work together: a structural frame, a foam package, an outer fabric or leather, internal webbing or slat support, and a set of mechanical hardware — legs, slat clips, central support bars, gas struts if the base has storage. In Chinese factories, several of these components come from sub-suppliers. The frame may be built in-house; foam is sourced from a local supplier; fabric is ordered from a textile mill in a different province. A bed that looks consistent across five showroom samples can conceal significant batch-to-batch variation if the material chain is not documented and controlled.

The other practical complication is volume. Upholstered beds are bulky relative to their structural weight. A king-size panel bed with headboard packs to between 1.2 and 1.5 CBM disassembled. A storage bed with drawer bases runs higher. Headboards — the component most likely to arrive damaged — require corner and edge protection that not every factory provides by default. Getting packing right matters as much as getting the specification right.

Frame Construction

The frame carries everything — the mattress, the sleeper, the headboard — and it is the component you cannot inspect once the upholstery is on. Three structural systems are common in Chinese export production.

Solid wood

Kiln-dried hardwood frames are the standard for mid-range and hotel-grade production. Rubberwood and pine appear in price-sensitive orders; beech, poplar, and ash at mid-range; birch or oak for premium. What matters more than species is moisture content. Wood delivered above 12% moisture content is likely to warp, develop squeaks, or crack at joints within a year of installation. Request kiln-drying documentation with each order, and for large hotel projects, verify moisture content on arrival with a handheld moisture meter before beds are distributed across rooms.

Joint construction is the other variable that disappears beneath fabric. Mortise-and-tenon and dowel joints provide the structural integrity needed for beds that will be moved regularly — for cleaning, maintenance, and room refreshes. Stapled or brad-nailed corner blocks, common in budget production, fail under repeated lateral stress.

Engineered wood

MDF, HDF, or multi-layer plywood frames appear in budget and volume production. They are dimensionally stable and cheaper than solid wood, but susceptible to load failure over time if joints are cam-lock and board density is insufficient. For hotel use, specify a minimum of 18mm HDF or multi-layer plywood for primary structural members, with mortise-and-tenon or dowel joints. Cam-lock is appropriate for flat-pack furniture that stays assembled once built; it performs poorly in beds that are moved and rebuilt repeatedly.

Metal

Steel or aluminium frames are used in contemporary platform beds and in designs featuring exposed metal legs or a floating visual effect. Steel is heavier and less expensive; aluminium is lighter and better suited to humid environments. For beds with a metal frame and a separately upholstered headboard, the headboard is typically wall-mounted rather than frame-mounted. Confirm the wall-mounting system, clearance requirements, and wall-plug specifications with the factory before placing the order — particularly for hotel rooms where wall construction varies between properties.

Upholstery Components

Outer fabric

Fabric is the most visible element and the most frequently substituted mid-order when a mill run sells out or a supplier switches vendors. Specify by composition (polyester velvet, linen-look, bonded leather, genuine leather), weight in grams per square metre for wovens, and provide a physical swatch as the reference standard. If a fabric is discontinued between sample approval and production — common in Chinese mills — require the factory to present an alternative for approval before substituting. Verbal descriptions of “similar grey velvet” are not a sufficient basis for acceptance.

For hotel use, specify rub resistance using the Martindale rating. Headboard panels that see daily contact from guests, housekeeping staff, and service carts require a minimum of 30,000 Martindale rubs for commercial durability. Ask for the fabric specification sheet from the mill rather than relying on the factory’s verbal assurance.

Foam

Foam is specified by two parameters: density (kg/m³) and firmness (ILD — Indentation Load Deflection). Budget beds use 18–22 kg/m³ foam that compresses noticeably within six months of regular use. For hotel quality, specify a minimum of 28–32 kg/m³ for all seating and resting surfaces. An ILD of 30–35 produces a medium-firm feel appropriate for most hospitality applications.

For headboard padding, a higher ILD (40 or above) prevents the soft-sag look that develops when guests lean against the headboard repeatedly. A headboard that looks crisp on installation and slumps after a year is a foam specification failure, not a workmanship failure. Most Chinese foam suppliers with export clients can provide density and ILD test certificates — request them as part of the production confirmation package.

Headboard construction

Three styles dominate Chinese production for the export market. Button tufting is visually distinctive and durable when buttons are stitched through to the internal frame with thread rather than held only by foam compression — ask the factory to show you the stitching depth on a cross-section sample before committing to a large run. Channel stitching, with parallel vertical or horizontal channels, is easier to produce consistently across batches and holds its shape well over time. Plain upholstered panels with no surface texture are the simplest to specify, the easiest to clean after spills, and the dominant choice in hotel production for those reasons.

Sizing by Market

Bed frame dimensions are not globally standardised. A queen-size bed in Australia is 153 cm wide; the nearest UK equivalent (king) is 150 cm. The difference is small enough that the same frame ships to both markets, but the mattress situation is different — an Australian queen mattress will not fit neatly on a US queen frame, and vice versa. For projects where beds are sourced in China and mattresses are purchased locally, confirm the internal platform dimensions against the mattress supplier’s specification before production, allowing 2–3 cm clearance per side. Discovering a 5 cm size mismatch after fifty beds have been assembled is a fixable problem, but not a cheap one.

Fire and Safety Standards

For beds destined for the UK, fire compliance is not optional and not something to rely on the factory to flag unprompted. The Furniture and Furnishings (Fire) (Safety) Regulations require filling materials and fabric composites to meet specific combustion resistance tests. For contract use — hotels, serviced apartments, care homes — BS 7176 applies. Standard polyurethane foam used in Chinese furniture production does not meet these requirements. Combustion-modified foam (CMF) is available from Chinese suppliers, but you must specify it explicitly and request the test certificate. An interliner barrier fabric between the foam and the outer cover is the alternative compliance route — confirm which method the factory uses before the order is confirmed, not after the container departs.

For US-bound beds, California Technical Bulletin 117-2013 (Cal 117) is the standard applied to foam and filling materials in residential upholstered furniture. It is mandatory in California and treated as the market benchmark nationally. Many Chinese factories supplying US retailers already use Cal 117-compliant foam as a matter of course, but request the documentation rather than assuming it. Foam certificates should identify the testing laboratory and the lot or batch tested.

For Australia, the UAE, and Southeast Asian markets, there is typically no mandatory fire performance standard for residential upholstered beds. Hotel and mixed-use developments may reference the National Construction Code or equivalent building regulations, which can impose material specifications through the fire engineering consultant on the project. Clarify requirements at the project level before finalising foam type, since retrofitting CMF foam after production is not practical.

Packing and Shipping

An upholstered bed ships disassembled in multiple packages: one carton for the headboard, one or two for the side rails and footboard, one for the slat frame, and a smaller carton for legs, hardware, and assembly instructions. Storage beds add at least one additional package for the under-bed mechanism or drawers. Confirm the total number of cartons per bed before the first container — this affects how the goods are declared and how the receiving team unpacks and tracks components on site.

Headboards require specific protection: corner foam on all four edges (minimum 10mm), a polyethylene inner bag over the fabric surface, and a corrugated outer carton extending at least 5 cm beyond the protection layer. A carton alone is not sufficient for headboards moving through LCL consolidation, where packages are handled multiple times. Fabric corners crushed during transit do not recover — the damage is permanent and visible from across the room.

Before the first container, request the packed dimensions and per-carton weights from the factory. Actual packed dimensions routinely exceed product dimensions, and the difference affects container planning directly. A king panel bed listed at 200 × 180 × 110 cm assembled can pack to a substantially larger total CBM across four or five cartons once protection materials and clearance are accounted for.

The frame is the one component you cannot inspect after upholstery goes on. If there is one area to request a cross-section or destructive test before committing to a full production run, it is frame construction and joint quality. Everything else on an upholstered bed can be verified on the finished piece.
