Packaging and Export Protection for China Furniture Orders: What Buyers Should Specify

Furniture damage in transit is almost always a packaging problem, not a shipping problem. Most factories in Foshan apply a standard carton and foam configuration that works for domestic delivery and short road hauls. It does not reliably survive a 25-day sea voyage, port handling, and last-mile delivery. If you have not written a packaging specification, you are accepting whatever the factory considers adequate — and learning the hard way when claims start arriving.

What Factory Standard Packaging Looks Like

Factories in Foshan and surrounding areas generally pack furniture in five-ply corrugated cartons with a layer of PE foam lining on the interior faces. The carton is taped at the seams, sometimes strapped with PP band, and marked with basic shipping information. For domestic furniture deliveries — shorter distances, less handling — this is functional. For export orders moving by sea, it is the minimum acceptable baseline, not a finished spec.

The gaps in factory-standard packaging are consistent and predictable. Corner blocks are rarely included unless specified. Inner foam is thin — often 10 to 15mm, which compresses under load and loses its protective function. Stretch wrap is applied inconsistently, if at all. Painted and lacquered surfaces go into the carton unprotected, with foam pressed directly against them. Drawers and doors are not secured inside the carcass. The result is that pieces arrive with corner damage, surface abrasion, or broken decorative elements — defects that appear minor per unit but add up quickly across a container.

None of this is the factory cutting corners deliberately. It is the factory applying its own standard, which was set for a different context. Your job as the buyer is to define what the standard is for your order, and to confirm it in writing before production begins.

Export Carton Specification

Corrugated cardboard cartons are graded by ply count and burst strength. Ply count refers to the number of layers in the corrugated board: three-ply is a single-flute board suitable for light, low-risk items. Five-ply, with two flat liners and a corrugated medium, is the standard for export furniture. Seven-ply adds an additional flute layer and is appropriate for heavy items or anything with glass, stone, or fragile finishes. Most factories default to five-ply for everything, which is reasonable for upholstered pieces and solid wood cabinets but underpowered for marble tops, glass tabletops, or large mirror panels.

Burst strength is the measure that matters for sea freight. It is expressed in kgf/cm² and indicates how much force the carton face can withstand before tearing. A five-ply carton from a quality board mill will test at 14 kgf/cm² or above. Factories sourcing board from lower-grade suppliers may produce cartons that test at 10 to 11 kgf/cm² — identical in appearance but substantially weaker. If you are sourcing high-value or fragile furniture, it is worth specifying burst strength in your PO and asking for the test certificate from the carton supplier.

Carton dimensions also matter more than buyers typically realise. A factory that packs a two-metre dining table in a single oversized carton creates a piece that is difficult to handle in port, prone to racking damage during loading, and almost impossible to stack safely. For long pieces, specifying that the carton length not exceed 180cm significantly improves handling outcomes across the whole logistics chain.

Inner Protection: Foam, Corner Blocks, and Surface Wrapping

The carton keeps the piece contained and dry. The inner packaging absorbs shock. These are two distinct functions, and the inner packaging is where most factories take the most shortcuts.

PE foam density is the critical variable. Density is measured in kilograms per cubic metre. Foam at 25 kg/m³ is light and appropriate for short-haul cushioning. For export furniture, 33 kg/m³ is the minimum to specify for sofas, upholstered pieces, and painted wood. For stone, sintered stone, and glass components, 45 kg/m³ or above absorbs impact without bottoming out under load. Thickness matters as much as density: a 20mm foam layer at 33 kg/m³ offers meaningful protection on all six faces of the carton, whereas a 10mm layer at 25 kg/m³ compresses to near-nothing under normal sea freight handling.

Corner blocks are one of the most cost-effective protective measures available and one of the most consistently omitted. EPS (expanded polystyrene) corner blocks or dense PE foam corner inserts fit over the eight corners of the item inside the carton and prevent the carton wall from transmitting point impacts directly to the piece. For items with protruding legs, carved detail, or decorative corner elements, they are essential. The material cost is modest. Specify them explicitly, with a reference photograph or dimension, in your packaging requirements.

Lacquered, painted, or high-gloss surfaces require a layer of non-woven fabric or tissue paper between the surface and the foam. Direct PE foam contact with lacquer creates a pattern of fine abrasions that may not be visible under factory lighting but becomes clear in strong daylight after unpacking. If you are ordering lacquered dining chairs or high-gloss cabinets, specify a surface wrap layer before foam is applied. This adds almost nothing to cost and prevents a common and recurring claim category.

When Wooden Crating Is Required

For most furniture, a well-specified carton with adequate inner packaging is sufficient. There is a clear category of items where it is not: glass tabletops and panels above 6mm thickness, natural stone and sintered stone slabs, mirrors above 900mm in any dimension, and large ceramic or porcelain decorative pieces. These require wooden crating, not cardboard packaging.

An export crate is a timber frame — open or closed depending on the piece — that supports the item on a solid base, holds it in position with internal blocking, and allows forklift handling from the base. For glass and stone, the item is typically wrapped in foam and secured vertically within the crate; horizontal transport of stone slabs increases the risk of cracking under their own weight over a long voyage. For large mirrors, the crate provides rigid outer protection against forklift prong puncture, which a cardboard carton cannot resist.

Crating timber must be ISPM 15 compliant. Most countries require import timber packaging to be heat-treated or fumigated to prevent the introduction of pests. A factory that uses untreated timber crates will create a customs clearance problem at your destination port — potentially resulting in the packaging being destroyed on arrival. Ask for the ISPM 15 heat treatment stamp on all timber and a phytosanitary certificate if your importing country requires one.

Export Marking and Labeling

Every export carton should carry a set of standard marks: country of origin (“Made in China”), gross and net weight in kilograms, external dimensions in centimetres, the destination consignee, and your purchase order number and item code. The last two items are ones buyers frequently omit from their spec but regret at receiving. When 200 cartons arrive at a warehouse and the only identifiers are the factory’s internal production codes, unpacking and matching becomes a significant manual exercise that costs time and creates errors.

Care marks matter for fragile and orientation-sensitive items. “This Way Up” arrows, “Fragile” markings, and stack-limit labels (“Do Not Stack Above 3 Cartons High,” for example) should be specified on any carton containing glass, ceramic, or items where compression damage is a risk. Factories will print whatever you specify on the outer carton at negligible cost. The failure to include these marks is almost always on the buyer’s side, not the factory’s.

Container Loading and Moisture Control

Packaging a carton correctly and then loading the container incorrectly undoes much of the protection. Furniture buyers ordering a full container should ask for a loading plan before the container is sealed — a diagram showing which items are loaded where, how many layers are stacked, and how the load is blocked and braced. This is a routine request for any professional freight forwarder or experienced export team. If the factory resists providing one, that itself is informative.

Heavy items — stone tops, solid wood cabinets, metal-framed pieces — go on the container floor. Lighter upholstered pieces and chairs can be stacked above. Cartons are not stable freestanding structures; they need to be loaded against the container wall or braced with dunnage bags or timber to prevent shifting during ocean transit. Unsupported cartons positioned in the middle of a partly filled container will fall during vessel roll. This is a common cause of damage that looks, on arrival, like a packaging failure but is actually a loading failure — and it is entirely preventable.

Moisture is a separate problem that buyers frequently overlook until it produces a claim. A shipping container, sealed for 25 to 35 days at sea and passing through temperature differentials between production in Foshan and arrival in a cooler climate, generates significant condensation on its walls and ceiling — a phenomenon known as container rain. Solid wood furniture, MDF components with veneer, and upholstered pieces can absorb this moisture and arrive swollen, warped, or mildewed. The practical mitigation is desiccants: calcium chloride absorber bags or silica gel sachets placed inside each carton and at container level. Specify at least one unit per cubic metre of goods, with additional units at container level for voyages exceeding 20 days.

Getting Packaging Right Before the Order Ships

Pre-shipment inspection is the last point at which packaging problems can be caught before they become container problems. Most third-party inspection services in China cover packaging as part of their standard scope — carton condition, labeling, inner padding, and sample drop tests. If you are using a QC agent or inspection company, confirm explicitly that packaging is in scope and that the inspector will photograph both the outer carton and the inner packing configuration. An inspection report that only confirms piece dimensions and finishes without verifying packaging leaves a major variable unresolved.

For buyers placing repeat orders with the same supplier, a packaging approval step on the first order — where a packed sample is reviewed and signed off before the factory packs the full production run — sets a documented baseline that applies to every subsequent order. This adds one step to the first order cycle and eliminates a recurring source of damage claims across all future ones.
