Buyers who write detailed specifications for beds and sofas often leave occasional pieces on a mood board reference, trusting the factory to interpret it. What arrives is foam that collapses within a year, console legs with minor wobble from transit stress, and glass table tops that came in at 6mm because no one specified 10mm. It does not typically include primary dining chairs, desk chairs, or the main sofa; those categories have their own manufacturing clusters in Foshan and Shunde and are specified differently.

What unites occasional pieces is that they often come from smaller, more generalist factories than primary furniture. A factory that makes dining chairs and sofas may include a few accent chairs as part of a complete project package without having deep experience in that construction type. Buyers tend to inspect primary pieces carefully and treat occasional furniture as a secondary concern. This is where most problems begin.

Accent Chairs — What to Specify

The most common accent chair failure is cushion collapse. A chair that photographed well in the showroom becomes soft and shapeless after six months of regular use. The cause is almost always under-specified foam.

Chinese factories default to 25–28 kg/m³ foam density unless instructed otherwise. For residential occasional use, specify a minimum of 32 kg/m³ for the seat cushion and 28 kg/m³ for the back. For contract or hospitality applications where chairs will see daily use, specify 38–42 kg/m³ for the seat. A high-end lounge chair placed in a hotel lobby or reception area warrants 45 kg/m³ and the price premium that comes with it.

Frame construction matters almost as much as cushion fill. Ask whether the frame is solid wood, engineered wood (MDF or particleboard), or a metal subframe. Solid wood frames handle re-upholstery well and perform better over time under regular use. MDF in the seat pan and arms is common and acceptable, but it should not be load-bearing. Request a written breakdown of frame materials by component rather than a blanket “solid wood frame” claim — a frame described this way often has solid wood legs but MDF everywhere else.

Leg attachment is often the point of failure. Legs that screw into a threaded metal insert embedded in the seat pan are reliable. Legs that screw directly into MDF or particleboard will loosen within a year under normal use. Legs welded to a metal plate and bolted through the seat frame are the most durable option. Ask how the legs attach before placing the order, not after the sample arrives.

Seat depth — the front-to-back measurement — is worth specifying if you have a height-sensitive application. A tub chair with a 70cm seat depth reads as a reading chair; at 85cm it becomes a lounger. Most buyers do not specify this and are surprised when pieces that looked similar in photographs serve different functions in a finished room.

Side Tables, End Tables, and Console Tables

Side tables and end tables in the Chinese market divide into three broad material types: metal base with stone or glass tops, solid wood or wood composite with veneer, and rattan or wicker with a glass top. Each has a primary failure mode.

For metal base tables, the critical variable is leg stability. Legs welded onto a base plate are more stable than legs that insert into sockets. Include a wobble test in your QC checklist: all four legs must sit flat on a level surface before the container closes.

Glass tops are rarely specified by buyers ordering through showrooms or trading companies. The default at the lower end of the market is 5–6mm tempered glass. For accent furniture that will see regular use, specify 10mm minimum tempered glass. For a console table that will carry lamps, ceramics, or decorative objects with any meaningful weight, 12mm is the safer choice. Include the specification explicitly in the purchase order — “10mm clear tempered glass, polished edge” — and have the inspector measure it with a caliper before sign-off.

Console tables present proportional risks that make them especially vulnerable in transit. Long, narrow, with legs at the corners — a minor impact during loading or unloading can stress the leg-to-apron joint enough to create a wobble that is not visible until installation. The joint at this connection should be dowel-and-glue on wood frames or welded on metal. Evaluate this on the prototype sample before approving production. Apply lateral pressure to each leg. If any movement is detectable, it will worsen under transit stress.

Ottomans, Footstools, and Storage Benches

Plain ottomans share most spec requirements with accent chairs: foam density, upholstery fabric, and leg attachment are the key variables. The distinction is surface wear. Ottoman tops take more direct contact and abrasion than chair backs, so fabric specification matters more in this application. A polyester-linen blend at 200 gsm or above is appropriate for standard residential use. Thinner fabrics on a surface that also serves as a footrest will pill and deteriorate within a year.

Storage ottomans and storage benches add hinge specification to the list. The hinge is load-bearing during opening and must support the lid weight during use. Cheap piano hinges will fatigue and cause the lid to sag. Specify hydraulic soft-close hinges rated to the lid weight, or at minimum a piano hinge with a stated weight rating written into the purchase order. If the bench will also serve as a seat, include a static load test for the lid: 80kg held for five minutes is a reasonable threshold and any competent factory will comply without difficulty.

What Goes Wrong in Practice

The most common category-level failure is that occasional furniture is bundled with a larger order and receives no individual QC attention. A buyer ordering 100 beds, 50 sofas, and 20 accent chairs typically sets up pre-shipment inspection for the beds and sofas and includes the occasional pieces as a visual pass. The inspector photographs the accent chairs against a wall without sitting in them, without testing foam firmness, and without measuring glass thickness. This is not an inspection. It is a photography session that provides the buyer with false assurance.

Material substitution is the second common failure. A factory that runs short of solid wood will substitute engineered wood in legs or structural components without notifying the buyer, because the visual result in a showroom photograph is nearly identical. The simplest field test is weight: solid wood legs on a typical side table are noticeably heavier than MDF equivalents. If a piece feels lighter than the approved sample, investigate before accepting.

Finish inconsistency affects project buyers most. If you are ordering accent chairs alongside a dining set or bedroom suite from multiple factories, finish calibration samples for all pieces should come from all factories at the same time. Walnut veneer from two factories, even if specified identically, will not read as the same color in natural light without calibration. This step is often skipped because it adds two to three weeks to the timeline. It saves arguments after delivery.

Writing It Into the Purchase Order

A usable purchase order for occasional furniture specifies four things a factory cannot reasonably assume: materials, dimensions, construction methods, and quality thresholds.

Materials means specifying not just “solid wood frame” but which species are acceptable, which are not, and which components may use engineered wood. Most buyers accept MDF in non-structural applications; the point is to draw the line in writing so there is no room for substitution that the factory considers reasonable.

Dimensions means seat depth, seat height, overall height, and table top measurements — not just the reference image. If you are sourcing across multiple factories within the same project, dimensional consistency is the variable that most often creates a mismatched delivery. State every critical dimension in millimetres with a tolerance of ±10mm unless the design requires tighter control.

Construction methods means leg attachment type, wood joint type (dowel, mortise and tenon, or pocket screw), foam density, and for upholstered pieces, whether the seat platform uses S-springs or webbing. S-springs are significantly more durable for accent chairs that will be used regularly. Fabric webbing is acceptable for lower-frequency use. Either choice is fine — the point is that it should be your choice, stated explicitly, rather than the factory’s default.

Quality thresholds means translating spec requirements into inspection points. Foam density can be approximated with the palm test or measured with a durometer if your inspector carries one. Glass thickness is measurable with a caliper in 30 seconds per piece. Leg wobble requires only a level surface and takes seconds to test. These are not difficult checks. They require only that someone perform them before the container closes.
